Policy

Facilities at both campuses of Our Lady of Sorrows - St. Anthony Parish (OLS-SA) are available for parish-related use, as well as diocesan, tenant, and non-parish activities that are consistent with OLS-SA's mission and values.

Guidelines

Priority for the use of the facilities is given to:

1. Parish programs
2. Ministries
3. Organizations
4. Sponsored activities (e.g., Scouting, Sports, Senior Clubs)
5. Diocesan programs
6. Tenant activities

Scheduling for activities other than wedding rehearsals, weddings, and funerals will be handled through the OLS-SA Facilities Scheduler (see Requesting Facilities). Reservation requests will be reviewed as they are received. Confirmations will be sent, or options will be offered in the case of conflicts. Additional request forms may be submitted whenever a need arises.

Facility access should be arranged through the parish office. Event sponsors must advise the facility scheduler in advance of cancellations or changes in requirements.

When planning your meeting and event schedule for the upcoming 12 months, please bear in mind that the office is not staffed after 5 p.m. Monday through Thursday or after noon on Friday; there will be no one to let you or others in. The office also is not open on weekends or holidays. If you must borrow the key from the office, you may either drop it in the front door mail slot of the rectory immediately after your meeting/event OR return it to the office the next working day.

While the use of facilities may be requested and approved, please understand that should the Covid situation change, access may be restricted and appropriate protocols may be reinstated.

Prohibited:

• No illegal drugs are allowed in the buildings or on the grounds.
• Smoking is prohibited throughout the campuses.
• The serving of alcoholic beverages is prohibited during services and hours of religious education. Serving to minors is prohibited at all times. Open, unsupervised serving of alcohol is prohibited at events at which minors are present.

Note: The Gym is not available for use prior to noon on Sunday, or prior to 5:30 PM on school days.

Church-owned items are not to be removed from the premises. If furniture or equipment is damaged or broken, the group using the facility is responsible for replacement in kind.

Rooms (including restrooms and kitchens) are to be left as they were found (with respect to their cleanliness, furniture arrangement, etc.). Nothing is to be afficed to walls or ceilings. Lights are to be turned out when not in use and doors kept locked.

Group sponsors are to ensure that proper behavior and conduct are maintained during the use of our facilities.

OLS-SA will not be responsible for the loss or theft of any personal property.

Note to Non-Parish Organizations: The Diocese of Trenton now requires that most non-parish organizations using parish facilities sign a Facility Use License Agreement and provide a Certificate of Insurance. Such organizations requesting the use of OLS-SA Facilities should submit their initial request at least two months in advance of the planned usage.

Please notify the Parish Office (587-4372) of any problems. If you decide to cancel your activity, meeting, or event, please notify the parish office as soon as possible.
